PRIVACY POLICY
Effective Date: February 12, 2026 Entity: JFLANGHILL ("we," "us," or "our")
At JFLANGHILL, we respect your privacy and are committed to protecting the personal and business data you share with us. This Privacy Policy outlines how we collect, use, and safeguard your information during the implementation of AI and automation systems.
1. INFORMATION WE COLLECT
To provide high-level automation services, we collect the following types of information:
- Account Information: Name, business email, billing address, and payment details (processed via secure third-party processors like PayPal, Stripe, Square etc).
- Technical Credentials: API keys, administrative login credentials for third-party applications (e.g., Zapier, Make.com, Slack, CRMs), and webhook URLs.
- System Logs: Information regarding the execution of automation tasks, including timestamps, success/error logs, and payload metadata generated during the implementation and testing phases.
2. HOW WE USE YOUR INFORMATION
We use the collected data specifically to:
- Design, deploy, and maintain custom AI and automation architectures.
- Verify the identity of the account holder for security and anti-fraud purposes.
- Monitor system performance to ensure the automation logic is functioning as intended.
- Dispute Resolution: We may use project logs and communication history to verify service delivery and authorization in the event of a payment dispute or chargeback.
3. THIRD-PARTY DATA PROCESSING
In the course of our service, data may be processed through third-party AI providers (such as OpenAI, Anthropic, or Google) and automation platforms. We only connect to external services that you have explicitly authorized us to integrate. We do not sell your business data or lead lists to third parties.
4. DATA SECURITY
We implement industry-standard security measures to protect your credentials:
- Encryption: Sensitive keys and passwords are stored using encrypted methods.
- Access Control: Only the lead architect assigned to your project has access to your system credentials.
- Post-Implementation: Upon final project handoff, clients are encouraged to rotate their API keys and passwords. JFLANGHILL will delete sensitive credentials from our internal records within 30 days of project completion, unless continued maintenance is requested.
5. DATA RETENTION & THE "RECORDS" CLAUSE
We retain project communication and system run-logs for a period of [e.g., 2 years] to comply with business accounting requirements and to provide evidence of service fulfillment. This data is critical for defending against "Unauthorized Transaction" claims, as it proves the active participation and identity of the account holder.
6. YOUR RIGHTS
Depending on your location (e.g., CCPA in California/USA), you may have the right to:
- Request access to the data we hold about your business.
- Request the deletion of your personal contact information.
- Revoke API access at any time by rotating your keys within your own third-party platforms.
7. TERMS FOR UNAUTHORIZED CLAIM DEFENSE
By using our services, you acknowledge that providing administrative access to your business tools constitutes explicit authorization for JFLANGHILL to perform technical work. This activity is logged and will be used as primary evidence in any "Unauthorized Transaction" investigation conducted by financial institutions.
